We are seeking a highly capable and execution-focused Senior Manager, Marketing Operations to serve as the operational backbone of a high-performing international marketing organization.
This role is responsible for driving excellence in budget management, vendor coordination, and cross-functional project execution. The ideal candidate brings strong operational discipline, thrives in complex, matrixed environments, and has a demonstrated ability to navigate internal systems and stakeholders to ensure work gets done efficiently and accurately.
This is a critical role that enables marketing effectiveness, financial accuracy, and organizational alignment. Travel 5-10%.
Requirements
Financial & Budget Operations Leadership
- Own end-to-end tracking and reporting of marketing budgets across multiple channels (e.g., digital media, vendors, internal budgets)
- Ensure accuracy, transparency, and timeliness of all budget reporting
- Partner closely with Finance and Accounts Payable to:
- Ensure accurate coding and allocation of expenses
- Resolve discrepancies proactively
- Ensure timely vendor payments
- Support annual budget planning cycles with clean, reliable data and insights
- Data-Driven Approach: Use data and analytics to measure lead generation success, refine outreach strategies, and report on KPIs to ensure optimal ROI for marketing efforts.
- Market Drivers: Maintain a strong understanding of current trends, technologies, and competitive activities in the biotech and pharma CRDMO sector, especially regarding small molecule and TIDES solutions.
Vendor & Operational Management
- Oversee operational management of 8–14 marketing vendors and partners
- Ensure vendors are properly onboarded, supported, and paid in a timely manner
- Serve as the primary coordination point between vendors and internal teams for operational needs
- Maintain operational consistency and efficiency across vendor engagements
Marketing Operations & Project Execution
- Drive coordination and tracking of key marketing initiatives across a matrixed team
- Own monthly marketing reporting processes:
- Coordinate inputs across stakeholders
- Ensure timely delivery of leadership-ready reports
- Provide visibility into project status, risks, and dependencies
- Proactively identify issues and escalate when needed to keep initiatives on track
Team & Organizational Support
- Support internal and external meeting logistics, including coordination with global stakeholders
- Assist with execution of key initiatives such as tradeshows and international sales meetings
- Provide operational support for team needs, ensuring seamless execution across activities

Success in This Role
Within the first 6–12 months, this individual will:
- Deliver accurate, reliable budget reporting to support annual planning
- Ensure all vendors are paid accurately and on time
- Establish strong, trusted relationships with Finance and Accounting
- Provide clear visibility into marketing initiatives through structured tracking and reporting
Qualifications
- 7–12 years of experience in marketing operations, project management, business operations, or executive administration within a complex organization
- Bachelor’s degree preferred
- Strong experience in budget tracking, financial reporting, and operational coordination (required)
- Proven ability to navigate and execute within highly matrixed, global organizations
- Exceptional organizational, communication, and problem-solving skills
- High attention to detail and commitment to accuracy
Technical Skills:
- Advanced Excel proficiency (required)
- PowerPoint proficiency (required)
- Experience with project management tools (e.g., Monday.com) preferred
